Sapien Opening and Closing — Operations Checklist (Readout)

Not a meeting. This document is Sapien's recurring operations checklist: morning opening, continuous duties, event setup, evening closing, and weekly tasks. It names Asif (front-shop presence) and implies a storefront with a sauna, gym, kitchen, and front shop. No decisions were made; the whole document IS the standing procedure.

1. DECISIONS

None — this is a standing checklist, not a decision record. (If the checklist itself is treated as ratified procedure, the "decision" is implicit: these duties are the accepted operating rhythm of the Sapien space.)

2. ACTION ITEMS

None assigned. The document is a role-agnostic duty list, presumably handed to whoever opens/closes. No owners, no due dates.

  • Sapien — the space this checklist governs. New project candidate for 01-PROJECTS (not yet indexed).

4. KNOWLEDGE

Durable operational facts for 05-KNOWLEDGE (this document is essentially a workflow spec — a strong candidate to file as a standalone workflow note):

Morning opening: turn on lights → throw away trash → sweep ground → vacuum → blow dust out → wipe down tables → declutter → put away chairs outside → dishes → stock bathroom (paper towels, TP, soap).

Continuous (front-of-house): spend time in front shop until Asif is present; answer the door; receive deliveries & take payments; give people tours; spot-checks (clean up messes immediately); offer food and drinks to guests; provide information to members and visitors; selling.

Event setup: rearranging the room; hosting; cleaning up drinks; helping the event organizer.

Evening closing: throw away trash → sweep → vacuum → blow dust out → wipe tables → declutter → put away chairs outside → dishes → stock bathroom → turn off the sauna → take out the trash → put new trash bags in → lock up → turn off lights.

Weekly: sweep & dust inside; mopping; go through fridge in kitchen; organize the gym; check inventory — with an explicit note that the inventory list is needed (known gap): toilet paper, napkins, plates; and either order more or find out who orders them.

5. TROUBLESHOOTING

  • Inventory list missing (self-declared gap in the doc): "(List needed)" — running items are TP, napkins, plates; ownership of ordering is unknown ("ordering more or finding out who is ordering them").
  • Ordering ownership unclear — same root issue; no one named as the person who places orders.
  • Sauna must be turned off at closing — flagged as a distinct closing step, implying a past risk of leaving it on.

6. OPEN QUESTIONS

  • Who is the inventory owner / who places orders?
  • What is the full inventory list? (Doc says a list is needed.)
  • When does Asif arrive (defines end of "continuous front shop" duty)?
  • Is this checklist current, or superseded by a newer version? (No date in doc.)

7. GAPS

  • No date anywhere in the document — cannot place it on the timeline.
  • No named owners for any duty.
  • Inventory list explicitly incomplete.
